Final settlement is where an employment relationship gets audited. Leave balances carried wrongly, a gratuity base that was never defined, a loan nobody deducted for two months — none of it mattered until someone resigned.
It is also the point at which a disagreement becomes a legal matter rather than an internal one, which is why the arithmetic has to be reconstructable rather than merely correct.
What has to be pulled together
A settlement draws on records that usually live apart: salary to the last working day, leave encashment against a balance, gratuity where applicable, provident fund, outstanding loans and advances, notice pay in either direction, and any recovery for company property not returned.
Each has its own source. The settlement is only as reliable as the weakest of them, which is normally the leave balance.
